Process Flow of e-Learning Content Production (e.g., videotaping, video reviewing, broadcasting)

e-Learning content production

The staff of CEED’s e-Learning Initiatives videotape and broadcast lectures on courses of the Graduate School of Engineering, the Graduate School of Information Science and Technology, the Graduate School of Chemical Sciences and Engineering and the School of Engineering. Basically, regular face-to-face lectures that are held on a weekly basis are videotaped and broadcast.

General process flow of e-learning content production

Each semester, the staff of CEED’s e-Learning Initiatives videotape and broadcast lectures on five or six courses. This page describes the detailed production processes. The instructors who give lectures are involved in the processes highlighted light blue.

Decision on courses for e-learning

CEED selects courses for e-learning approximately two months prior to each semester. The decision is based on requests for e-learning content production from instructors, e-learning content production plans developed by the graduate schools and other factors. Basically, CEED videotapes all requested courses. Instructors interested in e-learning content production are requested to contact CEED (e-mail: ceed-eL◆ *Replace ◆ with an at sign.; tel. ex. 7168).


Preliminary meeting

Prior to videotaping, CEED’s e-learning staff meet the instructor giving the lecture to brief him or her on matters he or she should know in advance, such as videotaping processes, important points to note during videotaping and the reviewing of edited videos.


Offering a lecture

process-01 CEED’s e-learning staff make preparations for videotaping in the lecture room, and the instructor gives the lecture as he or she usually does.

Differences from usual lectures
・Instructors are asked to wear a microphone to capture clear audio for the video. CEED provides a headset-type microphone, but instructors may opt for a lapel microphone if they prefer. (CEED recommends headset-type microphones due to their higher sound quality.)
・CEED recommends that instructors use a pointing stick rather than a laser pointer because beams from the latter are difficult to see on video.
・After giving a lecture, the instructors are asked to provide the data of the lecture materials used to CEED, if possible, because watching the video while referring to the handouts is considered to be easier for students to understand the lecture than just watching video.


Editing of the videotaped data by CEED

The editing staff of CEED edit the videotaped data and add a table of contents in keeping with the lecture content. They also cut out parts in the video that need to be removed according to the copyright-related instructions to be provided in advance by the instructor.


Reviewing the edited video

process-02 The instructor is responsible for reviewing the overall content of the video edited by CEED, including the table of contents added by the editing staff. The video can be cut by seconds. The instructor is requested to pay particular attention to the use of copyrighted works of third parties when reviewing the edited video.


Re-editing the videotape according to the instructor’s instructions

The editing staff of CEED re-edit the videotape according to the instructions of the instructor.


Completing the content

produce-process-05-en-before.png The broadcasting of the content begins in the semester following that in which the content is produced.


CEED’s e-Learning system subtitles lecture videos using Microsoft Azure Cognitive Services. Subtitles are only provided as an aid. There is no guarantee the quality of them.

It is possible to revise subtitles and provide the high quality version to the users if the instructor wish.

Revision of the auto-generated text by CEED

CEED’s e-Learning staff revise the analyzed text using AI in a readable style.


Revision of the revised text by the instructor

CEED provide the revised text to the instructors. Instructors are asked to check whether technical terms are correctly transcribed and the meaning of sentences are not changed.


Incorporation of the revised data into the content by CEED
