Privacy Policy

The Center for Engineering Education Development, Faculty of Engineering, Hokkaido University (hereinafter referred to as “CEED”, “we” or “us”) has established the following privacy policy for the CEED e-Learning System and is dedicated to the appropriate protection of personal information.

Personal information to be collected

CEED provides an online learning platform using Moodle, an open-source Learning Management System (LMS). CEED collects the following personal information provided by Moodle users as necessary. When collecting other personal information, CEED will clearly state the purpose of its use and, in principle, will only collect such information on the basis of the user’s consent.

2. E-mail address
3. Student number
4. Phone number
5. Schools or graduate schools
6. Activity log data in Moodle

Why we use personal information

CEED will use the personal information provided by users within the following purposes. The collected personal information will not be disclosed to third parties without the consent of the individual, except under special circumstances.

1. Identification, provision of services related to Moodle use, and notification of any change, suspension, or discontinuation of Moodle use services
2. Provision of information related to course enrollment, such as applicant information and activity log data, to the faculty in charge of the course
3. Other surveys to improve CEED services

In addition, personal information may be used or disclosed for purposes other than those listed above in any of the following cases.

1. In the case of legal requirements
2. In the case of the consent of the provider
3. In the case of outsourcing all or part of the handling of personal data to smoothly carry out the work necessary for the purpose of use

How we handle personal information

Personal information held by CEED is protected in compliance with the “Act on the Protection of Personal Information Held by Incorporated Administrative Agencies, etc.” and other laws and regulations, as well as in accordance with the “Hokkaido University Personal Information Management Regulations”.

Disclosure and correction of personal information

When a user requests disclosure or correction of their personal information, CEED will disclose or correct the personal information as appropriate to the circumstances of the request.

Revision of the Privacy Policy

CEED revises the Privacy Policy from time to time. Any revision of the Privacy Policy will be posted and announced on this Web page and applied from the date it is posted on this Web page. The most current privacy policy applies at all times to personal information to be collected by CEED.
